General & Navigation #

Q: How do I start working in the system after logging in?

A: After logging in, you will be redirected to your User Dashboard. Because you may hold multiple roles simultaneously across different libraries, select the proper box corresponding to the specific library and role you want to work with to enter its working environment.

Q: How do I initiate a new borrowing request?

A: You can start a borrowing request using one of two methods:

  1. Via Permissions: On the homepage under My Permissions, click the New Request tab next to the library you are requesting from to enter the borrowing environment.
  2. Via Library Menu: Click Go next to the desired library on the homepage, select the Borrowing tab, and then click New Request.

Q: What is the difference between clicking the “Go” button versus the “magnifier thumbnail” when searching for a reference?

A: When starting a borrowing request, enter your identifier (DOI, PMID, ISBN, or exact title) and click the magnifier thumbnail to run the search and auto-populate the reference details. Do not click the general “Go” button at this stage, as it will bypass auto-population and redirect you to a blank request form.

Request Status & Management #

Q: What does it mean when my submitted request moves to “Pending Requests”?

A: Moving to “Pending Requests” does not mean the item has already been ordered externally. It indicates that your request is fully filled and ready to send to the borrowing library.

Q: What does a cloud icon and the label “All libraries” mean on my request?

A: This indicates that your borrowing request has been broadcasted and sent to all participating libraries. It will remain displayed this way until a specific library accepts it.

Q: Can I cancel a request while it is in the “Requested” status?

A: Yes, cancellation is the only available action while a request is in the “Requested” status, but the behavior depends on whether the lender has accepted it:

  • Not Yet Accepted: The cancellation executes immediately, and the request reverts to the “New request” status.
  • Already Accepted: The cancellation does not execute immediately. Instead, it becomes a cancellation request, changing the status to “Cancel requested.” The lender can then either approve the cancellation or fulfill the document anyway.

Q: How do I process a fulfilled digital request (File or URL)?

A: Once you open and download the file or URL to verify its contents, click the “Check document” icon to confirm verification. From there, you can choose to Archive the request if it is correct, or Trash it if the document is damaged or incorrect (allowing you to re-request it).

Q: Should I trash finished requests when I am done with them?

A: No. It is highly recommended to archive all finished requests rather than trashing them, as archiving preserves records for statistical tracking and follow-up purposes. Avoid using the trash option unless you explicitly intend to re-order a damaged or wrong item.

Lending & Community Board #

Q: How do I accept an incoming lending request?

A: Go to your Pending Requests, find the new request, and click the “I will supply” icon. This changes the status from “Request received” to “Will supply” and allows you to proceed with fulfillment.

Q: What is an “Orphaned Request” and how should I handle it?

A: Orphaned requests are unfulfilled requests displayed on a shared community board visible to all participating libraries. Libraries are strongly encouraged to check this board on a daily basis and take the initiative to fulfill requests, supporting the core mission of helping libraries obtain documents free of charge and as quickly as possible. Clicking “I will supply” on an orphaned request removes it from the public board and moves it into your personal pending requests list.

Notifications & Settings #

Q: How do I change the email address where I receive RSCVD notifications?

A: Go to Your Profile, select Edit User Profile, and update the Service Email Address field to your preferred mailbox.

Q: Why am I not receiving service emails about my library’s requests?

A: Check your profile settings under Edit User Profile to ensure that the Receive email notification checkbox is enabled. If this box is unchecked, service emails will be turned off.

Q: Can my email notification language be different from my interface language?

A: Yes. The Email and notification preferred language setting in your user profile operates independently from the main interface language selection.

Account & Password #

Q: What should I do if I forget my password?

A: If you need to reset your password, use the automated recovery process managed through system emails. Since password recovery is a core security function, the system will trigger a mandatory system email containing instructions and a secure link to reset your credentials.
